New Faculty Checklist and Roadmap

Relocation Expenses
- Relocation expenses should be discussed with your hiring school and department. Policies related to relocation expenses are outlined in Policy 40.2.22 (Employee Relocation Expense Reimbursement) in the Rutgers Policy Library.
New Hire Paperwork
- Work with your department to complete new hire paperwork. The timely filing of this paperwork will permit you to gain access to many Rutgers systems, including the NetID system. This paperwork may include, but is not limited to, an offer of employment, criminal background check and degree verification, an electronic I-9 form (Employment Eligibility Verification), and additional hiring documents. New employee orientation for full-time new Rutgers employees is integrated into the new full-time faculty orientation offered in August each year on the New Brunswick campus.
Office and Workplace Logistics
- Discuss with your department chairperson, school director or designee:
- Office Protocol: location, keys, departmental email, administrator support, supplies, etc.
- Scheduled faculty meetings (department or college) and expectations for attendance
- College and department-specific procedures and policies including criteria and processes for reviews and promotion
- Teaching and other assignments for the upcoming year; Service/committee assignments
Human Resources
- Become familiar with the Human Resources website that contains information on many topics including benefits and policies and complete the tasks in the new employee checklist.
Rutgers ID Card
- Your Rutgers University ID Card serves as your primary form of identification at the University and the means to enter many buildings, borrow library materials, etc. All newly hired faculty and staff must submit a photo online for approval before a card is issued to you. In order to receive an RU ID card, new faculty and staff members must have a completed employee record in the payroll system 3 business days prior to requesting an ID card. Departments must complete a new employee’s record prior to the employee’s first day of work. The ID card system relies on data from the payroll systems and automatic data feeds to populate the appropriate ID card data. After you have activated your NetID and Rutgers email account, go to Institutional Planning and Operations portal to easily submit the photo you would like included on your RU ID card. The photo will be reviewed and you will be notified via email. The photo submission process must be completed at least 24 hour before the RU ID card will be available for pickup at your new employee session with HR (for full time faculty starting in September, this will happen at the New Faculty Pathways to Success sessions in late August.
Rutgers NetID
- Rutgers NetIDs are assigned to all current faculty, staff, students and retirees. Your NetID is your personal identifier at Rutgers–New Brunswick and serves as your login to many university computing and networking services. Your RU NetID will grant you login access to systems such as RU email, library resources, online Human Resources systems, and many other campus computing and networking systems. This login access functions once RU HR completes your hiring process and you reach your start date.
Parking
- All Rutgers–New Brunswick faculty, staff, and students are required to purchase a parking pass in order to park in any lot on campus. A variety of parking passes are available on the Rutgers University Institutional Planning and Operations website. This includes packages as small as 10 passes up to full semester passes. Please note a valid NetID and vehicle plate number are needed to make the purchase.
Campus Safety
- Familiarize yourself with campus safety tools and resources, such as the Rutgers University Alert System. The Rutgers University New Brunswick Police Department is responsible for developing and distributing timely warning and emergency notification messages. These messages are intended to warn the community about certain crimes, severe weather, and potentially dangerous situations on or near campus.

Start Creating Community
- Attend the community building welcome opportunities. New full-time faculty are encouraged to attend the New Faculty Pathways to Success programs offered in August with follow-up sessions in January. Lecturers are offered a welcome session in late August.
- Talk with your Department or School about mentoring opportunities. If these do not exist, visit University Equity and Inclusion’s Guidebook for New Faculty and the Faculty Diversity Collective intiative.

Complete the Required Annual Unlawful Harassment Prevention Training
- Rutgers is committed to fostering an academic and work environment that is free from unlawful harassment. In keeping with this commitment, Rutgers strives to educate faculty and staff on the prevention of unlawful harassment on campus and in the workplace through a series of online training courses, as well as through in-person and virtual training sessions. A web based set of workshops are mandatory for faculty to complete each year. Faculty receive an email from Skillsoft with a personal login to complete the required training.
Update contacts with your new email address
- Set aside time to update professional contacts including publishers, journals, listservs and organizations you are part of with your new email and contact information. It can be surprising how many of these there are.
Build your teaching skills
- Workshops to enhance teaching skills are offered regularly through the Institute for Teaching, Innovation and Inclusive Pedagogy and explore other teaching resources across Rutgers–New Brunswick.
Make a plan for your own wellness and time management
- Faculty wear many hats and the transition to a new position can be stressful. Rutgers–New Brunswick works to center wellness with our ScarletWell initiative. Rutgers also has a membership to the National Center on Faculty Development and Diversity that offers webinars on time management, making a semester strategic plan for yourself, getting the most from mentoring, and getting professional writing done.
